Challenge Faced
Our client, a top-tier creative agency serving the hospitality industry, was brilliant at what they did: branding, web design, and marketing. However, their internal processes were anything but streamlined. Their talented creative team was spending hours each day on manual administrative tasks—juggling project updates in ClickUp, managing client files in Google Drive, tracking leads in Hubspot, and communicating non-stop in Slack.
This operational drag was limiting their creative output and their ability to scale. Furthermore, they knew AI was a massive opportunity in hospitality but lacked a clear strategy to translate the hype into a real, sellable service for their clients (hotels, villas, and travel experiences). They needed an AI architect who could think both defensively (fix our internal mess) and offensively (build our next big revenue stream).
Our Solution
We stepped in as their remote AI Architect & Automation Strategist, tasked with transforming their business goals into a tangible AI-powered reality. Our approach was 2-fold-
1. Revolutionizing Internal Operations First, we focused on giving their creative team their time back. After mapping their core workflows, we built a robust internal automation engine. We used a combination of n8n, Zapier, and custom GPTs to create a seamless information highway between their essential tools.
- When a new client was signed in Hubspot, a complete project with templated tasks was automatically created in ClickUp.
- A new shared Google Drive folder was generated and linked to the ClickUp project.
- Key project updates in ClickUp would trigger automated summary notifications in the relevant Slack channel, eliminating the need for constant "what's the status?" check-ins.
2. Designing a New AI-Powered Service for Clients Next, we designed a market-ready AI service they could offer to their hospitality clients. We conceived and prototyped a "24/7 AI Concierge"—a custom chatbot that could be embedded on a hotel's website or used via WhatsApp.
- Using LangChain and the OpenAI API, we built an intelligent agent that could be trained on a hotel's specific information—room types, restaurant menus, local attractions, and internal policies.
- This AI Concierge could handle guest inquiries, manage room bookings, make dinner reservations, and provide instant, personalized recommendations, drastically improving the guest experience and freeing up front-desk staff.

Outcome & Results
The dual strategy yielded exceptional results. Internally, the agency automated over 40 hours of administrative work per month, allowing their team to focus entirely on high-value creative tasks and client strategy. Project management became smoother and less error-prone.
Externally, the AI Concierge service became a powerful new revenue stream. The agency successfully piloted the service with three of their key hotel clients, who reported a 30% reduction in front-desk call volume and a noticeable increase in positive guest reviews mentioning the "helpful and instant" support.
